Controlled documents, revisions & QR currency

Documents & Resource Library

Every policy, safe work procedure, form and work instruction lives in one controlled register — numbered, owned, approved and version-controlled. Nothing is "the latest" because someone says so; it is the latest because the register says so. Drafts route through review and approval with signatures, issuance promotes the revision, and superseded copies retire to a permanent history that auditors can walk revision by revision.

Every printed copy carries a QR currency footer. Anyone — staff, contractor, auditor — scans it with any phone and knows in seconds whether the copy in their hand matches the current issued revision.

Scan a printed document. Know if it's still current.

Every controlled document in SHIELDos carries a QR currency footer. The camera on your phone reads it and the document register answers live — exactly as it would on your site.

The currency footer printed on every controlled document — document details on the left, live verification QR on the right. The codes below are real footers from a live register.

That is the whole experience on every printed policy, SWP and procedure — a permanent QR footer that answers "is this copy current?" before anyone works from it.

Every document under control

Each document carries its number, owner, revision, approval trail and review date. Statutory documents sit beside in-house procedures in one register, controlled copies are tracked to whoever received them, and acknowledgments are captured so you can prove who has read what.

  • Auto-numbering by document type — gap-free, auditable references
  • Approval chains with reviewer comments and signatures
  • Controlled distribution with acknowledgment tracking
  • Review-date watchlist — documents coming up for review surface early
  • Full revision history; superseded and obsolete states are explicit

Author, approve, issue

Documents move through a defined lifecycle — Draft, In Review, Approved, Issued — with every step, comment and signature recorded. Issuing promotes the new revision and retires the old one automatically, so two "current" versions can never coexist.

Scan to prove it's current

Every printed copy carries a QR currency footer. A phone scan opens the public verification page and compares the printed revision against the live register: green if the copy is current, a hard flag naming the current revision if it is outdated, and not-found for anything that was never registered.

A library you don't have to write

The built-in Resource Library ships with a curated pack of South African policies, safe work procedures, forms, toolbox talks, meeting templates and inspection templates — maintained and versioned by us. Import what you need into your own register, adjust it to your site, and issue it under your own approval trail. You start 80% done instead of staring at a blank page.
